Applying for: Executive Assistant at NYC Hedge Fund

 

Overview:

The CEO of a prominent Hedge Fund is looking for an experienced Executive Assistant to be a right hand with a focus on business-side support. This person will assist the CEO with all business related scheduling, travel logistics, and ad-hoc projects. The CEO is a busy, fast-moving Executive and is seeking a candidate that will be proactive, detail-oriented and always looking to find efficiencies and improvements. The firm itself is very well-known in the financial industry, and it is a hard-working, dedicated team. This role will be fast-paced, dynamic and the Executive Assistant will be fully immersed in the business, so being adaptable and professional will be key. This is an amazing opportunity to support a high level CEO at a top firm in the industry.

 

Please note: this is a 3 EA/PA team. Each person has their responsibilities and this role is primarily supporting the Executive’s business related needs. This is a great, warm and friendly team!

 

Hours: 8am-6pm with 24/7 availability

 

Responsibilities:

-Provides high level administrative support to CEO

-Maintains heavy, complex and frequently changing calendar

-Coordinates all aspects of business related meetings and conference calls

-Prepares and reviews materials and correspondence for meetings

-Handles all confidential business matters and works independently on special assignments

-Answers and screens a high volume of incoming phone calls and places calls as directed

-Manage travel arrangements, domestic and international (commercial and private)

-Oversee special projects for Executive

-Anticipate needs and plan accordingly for them

-Attend to confidential information

 

 

 

Qualifications / Requirements:

-Bachelor’s degree

-5 - 7 years of support experience

-Strong sense of judgement

-Very proactive and thorough approach

-Detail-oriented, organized, and quick-witted

-Ability and willingness to take initiative

-Exhibits utmost professionalism and discretion

-Ability to interact with variety of people

-Exceedingly flexible and able to prioritize in fast-paced/high-pressure environment

-Demonstrated proactive approaches to problem-solving with strong decision-making capacity
